Summer Group Offer - Terms and Conditions

QUALIFYING GROUP TERMS & CONDITIONS

  • Group/Event/Meeting contract must be signed between June 1, 2012 and September 30, 2012 and room block must be used and paid for by March 31, 2013 to qualify for this offer.
  • Offer must be referenced at start of negotiation process.
  • Not valid with any room blocks or meetings currently booked, under negotiation or that have already occurred.
  • May not be combined with any other offers, incentives, discounts or promotions.
  • This offer is not valid for catering-only events or wedding contracts.
  • Minimum of 25 room nights must be booked to qualify for this offer at Le Meridien, Luxury Collection, Sheraton, St. Regis, W, and Westin hotels.
  • Minimum of 10 room nights must be booked to qualify for this offer at Aloft, Element and Four Points by Sheraton hotels. 
  • Offers are subject to availability of guest rooms and meeting facilities at time of booking. Valid only at participating properties in The Americas.
  • Promotion valid to all eligible group/event/meeting bookings, including those booked through travel agents and third parties at commissionable rates.

 COCA-COLA REFRESHMENT BEVERAGE

Groups with meeting space qualify for one complimentary Coca-Cola refreshment experience, which includes one beverage per attendee, from pre-set menu, to be provided by the hotel. Availability of specific beverages may vary based on hotel. No substitutions or credits will be permitted. Addition of items outside the pre-set beverage menu will result in additional cost to the customer.  Refreshment experience can be delivered at any time during the meeting period, but may not used as part of an existing food and beverage break. Valid only at hotels under Starwood’s Coca-Cola corporate contract.

 CONCESSION GRID

Customers may choose one concession from the following options at the time of contract signing. Concession choice changes depending on number of days from lead initiation to contract signing. Lead initiation is defined as the first point of contact referencing the said meeting – first point of contact can be by phone, in-person, email, online RFP, etc. Once a customer chooses his or her concession and signs the meeting contract, the concession choice cannot be changed.

 STARPOINTS SIGNING BONUS

  • Within 30 Day Lead Window: Starpoints signing bonus amount is based on the number of room nights contracted. Bonus is 1,500 Starpoints for every 10 room nights booked to a maximum of 100,000 bonus Starpoints per contract. If the group or event is canceled, Starwood reserves the right to cancel and delete any Starpoints signing bonuses from the client’s account.
  • Outside 30 Day Lead Window: Starpoints signing bonus amount is based on the number of room nights contracted. Bonus is 1,000 Starpoints for every 10 room nights booked to a maximum of 100,000 bonus Starpoints per contract. If the group or event is canceled, Starwood reserves the right to cancel and delete any Starpoints signing bonuses from the client’s account.

 DOUBLE/TRIPLE STARPOINTS AT CONSUMPTION

  • Within 30 Day Lead Window: Triple Starpoints – Customers will earn three times the standard 1:US$3 Starpoints award, for a ratio of 3:US$3 to a maximum of 100,000 Starpoints per contract.
  • Outside 30 Day Lead Window: Double Starpoints – Customers will earn two times the standard 1:US$3 Starpoints award, for a ratio of 2:US$3 to a maximum of 100,000 Starpoints per contract.

 ACCELERATE COMP ROOM POLICY

  • Within 30 Day Lead Window: 1/40 Comp Rooms – Customer will receive one complimentary standard room for one night for every 40 paid room nights. Earned complimentary rooms must be used for the contracted group and cannot be banked for future use.
  • Outside 30 Day Lead Window: 1/45 Comp Rooms – Customer will receive one complimentary standard room for one night for every 45 paid room nights. Earned complimentary rooms must be used for the contracted group and cannot be banked for future use.

 ACCERLERATE COMP UPGRADE POLICY

  • Within 30 Day Lead Window: 1/35 Comp Upgrades – Customer will receive one complimentary room-type upgrade for one night for every 35 paid room nights. Complimentary upgrades must be used for the contracted group and cannot be banked for future use. Upgrade is based on availability.
  • Outside 30 Day Lead Window: 1/40 Comp Upgrades – Customer will receive one complimentary room-type upgrade for one night for every 40 paid room nights. Complimentary upgrades must be used for the contracted group and cannot be banked for future use. Upgrade is based on availability.

 CREDIT TO MASTER FOR TWO OR MORE MEETINGS

  • Regardless of Lead Window: Customer earns a credit to the master bill when two or more qualified contracts are signed at the same time, for the same hotel. Credit is applied starting with the second signed contract and any contracts thereafter. Credit is 2% off master billed guest room charges. Discount is not offered on banquet and catering, meeting rooms, any surcharges, gratuities, taxes, audio/visual charges, and/or third party charges on the master bill. Payment must be made in accordance with the time frames specified in the contract to receive the discount on the master bill.

 COMPLIMENTARY WEEKEND NIGHT CREDIT

  • Within 30 Day Lead Window: 1/25 Comp Weekend Night – Customers may earn one (1) complimentary weekend night, in a standard room, for a future stay, at the same hotel, for every 25 paid room nights in the meeting contract. Complimentary weekend nights (s) must be redeemed and used by December 23, 2013, for any Thursday, Friday, Saturday, or Sunday night, and can be redeemed by calling the Sales Office of the hotel where the meeting was contracted referencing complimentary weekend night and the said meeting contract. Complimentary weekend nights are subject to availability at the hotel. A maximum of four (4) comp weekend nights can be earned per contract. This complimentary weekend night is not eligible for redemption at other hotels or as part of SPG’s Free Weekend Night Awards program. Complimentary nights from separate contracts are not combinable and may only be added to additional paid nights or SPG Free Night stays at the discretion of the hotel. The complimentary weekend nights are nontransferable and may not be given as gifts. Unused nights are forfeited.
  • Outside 30 Day Lead Window: 1/30 Free Weekend Night – Customers may earn one (1) complimentary weekend night, in a standard room, for a future stay, at the same hotel, for every 30 paid room nights in the meeting contract. Complimentary weekend nights (s) must be redeemed and used by December 23, 2013, for any Thursday, Friday, Saturday, or Sunday night, and can be redeemed by calling the Sales Office of the hotel where the meeting was contracted referencing complimentary weekend night and the said meeting contract. Planner is responsible for disclosure to client of any incentives received, including Starpoints, and is responsible for compliance with any client or employer gift or incentive policy that may apply. Planner must be an active member of and in good standing with the Starwood Preferred Planner program and the Starwood Preferred Guest® program to receive Starpoints.
